Primary Purpose

To coordinate the tracking, awarding, and disbursement of financial aid, by partnering with the Director of Financial Aid/Veteran Affairs (the Director) which includes: assisting the Director (or designee) assisting students and parents with FAFSA completion, intake documents and review for accuracy and completeness, preparing and mailing correspondence, awarding, advising and assisting students with financial aid packages, repackaging for subsequent years, performing refund and repayment calculations, assisting with the reconciliation of financial aid accounts, and preparing federal and state reports, accessing federal and state websites as necessary; making decisions about homelessness status for students and immigration documents as they relate to a student’s eligibility for financial aid; assisting with the documentation for decisions about unusual circumstances related to applicants’ requests for professional judgment adjustments; communicating with other College departments and offices; presenting at area high school nights and FAFSA Frenzy, providing information, including workshops, to area high schools; coordinating the tracking of needed documents on each applicable student applying for aid and communicating with them to keep them informed of information needed; providing award notices to students when their files are complete; performing verification of applicant data and making corrections and transmissions as necessary through Banner software programs, as applicable; handling telephone calls, mail, and walk-ins; and assisting students with completion of application material. Serve as Certifying Official for VA Students which includes: submitting and updating enrollment certifications, processing enrollment information in the Banner and VA ONCE systems, and coordinating various VA reports with the Director.

Performs other duties as assigned by the Director or the Orange Park Campus Provost.

Description of Duties and Tasks

Essential Job Functions

1. Maintains the financial aid awards in the Banner system which entails ensuring the correct Expected Family Contribution (EFC) has been posted to the student's record, ensuring that the student's unmet need and/or cost of attendance is not exceeded, as applicable.

2. Ensures all required paperwork has been received and satisfied before the student receives any aid.

3. Tracks completion of student files, which entails examining the Institutional Student Information Record (ISIR) for possible conflicting or inconsistent data and resolving conflicts prior to awarding, posting appropriate data to the student's record, determining whether verification documentation is necessary and tracking this documentation, sending "missing information" correspondence to students, and including required forms.

4. Performs verification of applicant data which entails collecting verification documents and ensuring all bear signatures as appropriate, noting discrepancies between the ISIR and verification documents, coding the verification properly for reporting to the U. S. Department of Education (DOE), and making changes to applicant data as necessary.

5. Provides financial aid information, handles walk-ins, distributes applications, answers questions asked by students, parents, and staff, and receives documents submitted to the office; assists students with completion of application materials, offers advice to students upon their request during application process, recognizes potential problems when receiving documents from students and rectifies those problems at that time, when possible; handles mail, handles routing of phone calls.

6. Certifies the enrollment of Veteran students, as needed or assigned, as VA Certifying Official for the College.

7. Submits College materials and information for processing to the Palatka Campus, as needed.

8. Maintains files electronically through Xtender.

9. Assists the Director with eligibility reports for State financial aid programs, preparing eligibility reports and grade and hour reports which entails determining student eligibility by checking enrollment status, Florida residency, Selective Service registration, remaining need, determining cumulative GPA's and hours completed for students on the report, determining any new or revised program guidelines, and completing and submitting the required reports electronically to the State of Florida, Office of Student Financial Assistance in a timely manner.

10. Assists in reconciling financial aid award information with the Business Office, as needed.

11. Assists the Director with monitoring satisfactory academic progress for financial aid students which entails notifying students of their status, preparing documents to accompany appeals, coordinating same with the Director of Financial Aid, adjusting the student's status as appropriate, and notifying the student of stipulations placed on reinstatement and tracking these stipulations as applicable.

12. Conducts financial aid workshops at area high schools and other locations as required.

13. Prepares book authorizations for eligible students for the Orange Park Campus for all funds.

14. Helps ensure that Financial Aid Office student workers carry out assigned tasks.

Marginal Job Functions

1. Ensure that office and reception areas appear neat, organized, and professional.

2. Ensure that application materials and brochures are kept in adequate supply for the public.

3. Ensure that office supplies and forms are in adequate supply.

Required Knowledge, Skills, and Abilities

1. Ability to read the English language sufficiently to process all paperwork required.

2. Superior English language writing skills for completion of various written paperwork including, but not limited to, correspondence, record keeping, document tracking, and filing.

3. Sufficient manual dexterity to be able to operate all office equipment including, but not limited to, computers, fax machines, copy machines, typewriters, modems, and telephones.

4. Ability to receive telephone calls from the public, respond to inquiries, and communicate with co-workers and others by telephone.

5. Ability to perform the above essential job functions for an eight-hour shift (except during registration when shifts are usually ten to eleven hours), with an hour lunch break, without a significant risk of injury.

6. Ability to learn and perform all essential job functions accurately, with minimal direct supervision, within six months after employee begins work.

7. Thorough knowledge of SJR State's mission, purpose, and goals and the role of the Financial Aid/Veteran Affairs Coordinator in achieving them.

8. Knowledge of or ability to learn relevant computer programs used: Banner, MSWord/Excel/Access, EdConnect, VA ONCE, and other applicable functions requiring Internet access.

9. Ability to drive an automobile and have a valid Florida Drivers License with an acceptable driving record.

Ergonomic Requirements

This position is not necessarily a physically demanding job. The functions are usually performed sitting but may involve some amount of time standing. Some amount of stooping, kneeling, bending, crouching, lifting, walking, carrying, and other movements may be required. Tasks such as cutting, labeling, taping and working at a computer keyboard or typewriter involve extensive wrist and hand movements. This position requires good vision.

Qualification Standards

1. Education: Associate degree required, Bachelor’s preferred

2. Experience: A minimum of two years in administering Title IV aid programs.
